Practical guide

Count the thing the number claims to measure.

A website visit is not an inquiry. An inquiry is not a booked visit. A proposal is not collected revenue. Each can help you understand the work when its label is clear.

  1. Visibility tells you whether people could find you.
  2. An inquiry needs a counting rule.
  3. Platform totals can differ legitimately.
  4. The pipeline records your team's decisions.
  5. Ask what changed and why it matters.
  6. Keep proof and guarantees separate.

01 Visibility tells you whether people could find you.

Search impressions and clicks show how your pages appeared in Google and whether people clicked. Analytics describes recorded website activity. These are useful signals, but they do not tell you whether a suitable project came through.

A chart made from one firm's Search Console clicks, April to August 2026. April counts from the 7th. It is not a screenshot, and clicks are not inquiries.

02 An inquiry needs a counting rule.

Our reporting combines tracked web forms and chats with callers new to the CRM whose calls connected for at least 60 seconds. Duplicates are removed so one person is not counted repeatedly.

The rule has limits. A first-time caller in the CRM can be an existing customer, and a call lasting a minute does not prove the project is a fit. Read the record before calling every inquiry qualified.

03 Platform totals can differ legitimately.

An ad account counts the conversions configured in that account. Analytics and the CRM see different records and may attribute them differently. Do not add the totals together as if they represented distinct people.

Our results page labels each source and the period it covers. The $52.64 Google Ads cost per lead includes ad spend only, not agency fees.

04 The pipeline records your team's decisions.

A stage called Scheduled Site Visit describes the status on the day you look. It does not prove completion or payment. New Client reflects what the team marked; it should be reconciled with the underlying business records when you need a financial answer.

If the system has no stage history, a snapshot cannot tell you every step a person took. Cards added by hand also need to be identified before attributing the whole pipeline to the website.

A reconstruction of the pipeline counts recorded on September 16, 2026: 85 cards on the board, 20 at Scheduled Site Visit (5 added by hand), 6 at New Client (1 added by hand)
A reconstruction from the stage counts recorded on September 16, 2026, not a screenshot. This snapshot covers a different period and counting method from the August inquiry total; the two cannot establish a conversion rate.

05 Ask what changed and why it matters.

Compare like periods where possible. A partial launch month is not the same baseline as a full month. Look at the absolute counts as well as a percentage, particularly when the starting number is small.

Then ask what your team should do: change the page, narrow the targeting, improve the response or keep doing the work. A report is useful when it supports a decision.

06 Keep proof and guarantees separate.

A measured client result establishes what happened for that client. It does not establish what will happen for yours. A guarantee is a separate commercial promise that needs its own scope, conditions and remedy.
