CRM and inquiry handling

Keep the inquiry and the next step in the same place.

A missed call, an unanswered form and an old conversation are easy to lose track of. We set up the CRM so your team can see who contacted you and what needs to happen next.

What we set up

  • A tracked phone line and website forms connected to the CRM.
  • Inquiry notifications and missed-call text-back.
  • A place to keep the contact, conversation and recorded source together.
  • Pipeline stages your team can update as the inquiry progresses.
  • Reporting that counts each person once across the tracked web and phone records.

Your team still handles the client.

The CRM helps you keep track. Your team decides whether the project fits, returns the call, follows up and updates the result. A record marked New Client means the team marked it that way; software cannot independently confirm a signed contract or payment.

Bar chart of calls per week from June 15 to August 24, 2026: 11, then a peak of 99 with 75 from unidentified numbers, then 61, then between 15 and 21 a week; a press-1 gate was added on June 26

A phone problem we could see in the records

In one client's worst week in June 2026, the tracked line took 99 calls. Seventy-five came from unidentified callers, and a setting was hanging up on real callers.

After a press-1 gate was added that week, unidentified calls settled at about six per week and total calls at about 18 for the next eight weeks. A call gate is one possible filter. It is not proof that every caller who gets through is a person.

Questions before you decide

  • How will I know what the work is producing?

You have access to the CRM and the reporting accounts. You can see the tracked calls and forms, their sources where available, and what your team recorded after the inquiry.

The monthly report shows what changed and which numbers we can verify. Calls and forms are one part of the picture; visits, proposals and won work depend on your team keeping the pipeline current.

  • How much of my time does this take?

Plan on about an hour for the intake form and kickoff call, with the requested account access and materials ready. You also review the website before it goes live.

After launch, your team answers inquiries, follows up and records what happened. We build and manage the marketing; your team handles the engineering and the prospective client.
